The Dossier

Terms of Service

The agreement between you and The Dossier, in plain English. It covers who can join, how billing and renewal work, how to cancel, and how to use the venue information.

Effective November 1, 2026. Last updated November 1, 2026.

  1. 01Who we are and what this is

    The Dossier (thedossier.vip) is run by Shani Gailbreath, doing business as The Dossier. It is a private venue research tool for professional event planners: capacity, pricing, rules and logistics for hotels, resorts and event venues, with every fact labeled by how much to trust it.

    These terms are the agreement between you and The Dossier. By creating an account or paying for a plan, you agree to them. If you don't agree, please don't use The Dossier.

  2. 02Who can join

    • Professional event planners using The Dossier for their business: wedding, corporate, social, destination and private-event planners.
    • You must be 18 or older.
    • During the beta, joining is by invitation only. We review every request, and we may decline one without giving a reason.
  3. 03Your account

    You sign in with a code we email you. Keep access to that email account private, because anyone who can read it can sign in as you.

    One login is for one person. A Team plan covers up to 5 planners, each with their own login, on one owner's plan.

    Tell us at shani@thedossier.vip if you think someone else has used your account.

  4. 04Plans, billing and automatic renewal

    Prices are shown before you pay, and payments are handled by Stripe.

    • Founding membership: $349 a year, locked for as long as your membership stays active, for the first 100 planners.
    • Your first charge date is shown on the join page before you add your card. After that, you are charged once a year.
    • Monthly and Annual plans are charged at the start of each month or year, at the price shown when you subscribe.
    • Credit packs are a one-time purchase and do not renew.

    Every subscription renews automatically, at the same interval, until you cancel. Your card is charged on each renewal date without a further request from us.

    We email you a reminder before each annual renewal, and before your first charge if it falls after the day you join.

    If a payment fails, we may pause your access until it is paid.

  5. 05Cancelling and refunds

    You can cancel any time online in Membership, then Manage billing. Cancelling stops the next charge. You keep access until the end of the period you have paid for.

    If your first charge date falls after the day you join and you cancel before it, you pay nothing.

    We don't refund part of a period you have already paid for.

    Credits are not refundable. Each credit expires 12 months after you buy it, and a venue you unlock stays open for 12 months.

    Cancelling a Founding membership gives up the Founding rate. If you come back later, the regular price applies.

  6. 06How to use the venue information

    The Dossier is research to help you plan. It is not a venue's offer, quote or contract. Venues set their own prices, minimums, rules and availability, and they can change them at any time. Confirm the details with the venue before you sign anything or quote a client.

    Every fact shows how much to trust it: Venue-reported, Dossier-verified, Planner-reported or From a venue listing, with the date it was checked. A detail we don't have yet shows as Not yet confirmed. Cost estimates are labeled Planning estimate, not a venue quote.

    There is no paid placement, no sponsored listings and no advertising. A Featured tag only means a publication has covered the venue. It is never paid for.

  7. 07What you can and can't do

    You can use The Dossier for your own planning work, including sending clients a client page and downloading a project's shortlist for your files.

    You can't:

    • copy, scrape or export the database in bulk, or use bots or automated tools to read it;
    • resell, republish or share venue records outside your own client work;
    • share your login with anyone outside your team seats;
    • use The Dossier to build or feed a competing product or service;
    • try to get around the access limits on your plan.
  8. 08Field notes and anything you send us

    You keep ownership of the field notes, files and information you send us. You give us permission to use them to run and improve The Dossier.

    Venue information that planners share with us stays private. We never show it with your name, and we never show it to the venue.

    Only send what you have the right to share. Don't post anything false, anything your clients have told you in confidence, or anything that belongs to someone else.

  9. 09Our content

    The database, the way it is organized, the design and the The Dossier name and wordmark belong to The Dossier. Your plan gives you a personal license to use them as these terms describe, for as long as your membership is active.

  10. 10The beta

    The Dossier is in beta. Features can change, venues are still being added and confirmed, and things may break while we build. Your feedback shapes what comes next.

  11. 11No guarantees, and the limit of our liability

    We work hard to keep the information accurate and dated, but we can't promise every fact is complete, current or correct. To the extent the law allows, The Dossier is provided as it is, without warranties of any kind.

    To the extent the law allows, we are not liable for indirect or consequential losses, such as lost bookings, lost profits or a venue's change of terms. Our total liability for any claim is limited to what you paid us in the 12 months before the claim.

  12. 12Ending your account

    You can leave any time: cancel under Membership, or email shani@thedossier.vip to close your account.

    We may suspend or close an account that breaks these terms. If we close your account without cause, we refund the unused part of any period you have paid for.

  13. 13Changes to these terms

    If we make a material change, we email members before it takes effect. The date at the top of this page shows when these terms last changed.

  14. 14Governing law and contact

    These terms are governed by the laws of the State of Tennessee, United States.
